Requirements

  • 3+ years of success as a Personal or Business Assistant

  • Languages: German B2-C1 and English B2

  • Fluency in Ukrainian or Russian language

  • Superb time management, confidentiality, and proactive mindset

  • Stress-resistant with a strong “get things done” approach

  • Skillful typing, note-taking, and recordkeeping abilities

  • Discretion, diplomacy, and a problem-solving mindset

  • Exceptional verbal and written communication skills

  • Multitasking and prioritization superpowers

 

Nice-to-have

  • Ability to anticipate needs and create a convenient life  

  • Positive attitude, coupled with an appreciation for art, cuisine, and travel

  • Mastery of office tools: Outlook, Microsoft Office, Notion, Asana, AI tools

  • Understanding of business etiquette

You’ll support a CEO who has spent decades running successful IT company in Germany. Beyond her role as a dynamic business lady, she’s a devoted mother, supportive wife, and loving daughter. Open-minded and passionate, she embodies both professional excellence and personal warmth

 

Responsibilities

  • All-encompassing support—gracefully managing different tasks, allowing CEO to navigate her dynamic life with ease and focus on making an even greater impact

  • Act as the key point of contact between CEO, employees, partners, and clients 

  • Organize personal tasks, such as medical appointments, training, kids' activities, household chores, and booking

  • Coordinate with other departments and external contacts via email, Teams, and messengers

  • Ensure CEO’s participation in meetings, with concise minutes and follow-ups

  • Run meetings with clients and contractors, acting as CEO's representative

  • Manage CEO’s ever-changing Calendar and ensure key priorities are met

  • Prioritize and organize incoming information accurately and efficiently

  • Manage incoming inquiries on LinkedIn, replying when necessary

  • Arrange travel arrangements and create detailed itineraries

  • Draft emails, presentations, and reports on behalf of CEO
